A wedding seating chart Excel template that survives edits
Most seating charts in Excel are one sheet of names in cells, and they fail the first time a plus-one arrives. The structure that survives is two sheets: one for seats, one for rules, with a count formula that flags any table over eight before you print.
Sheet one: seats
Columns: guest name, party, table, seat number, and a flag column you never type in. The table column is a number, not a label, so counting works. The seat number is optional but it is what makes a printed chart match the room.
Add a count formula per table — COUNTIF over the table column — beside the table number, not at the bottom of the sheet. A count you have to scroll to is a count you stop checking.
Sheet two: rules
Two columns: guest A, guest B, and a third for together or apart. Keep the names spelled exactly as sheet one, because the join is by name and a typo silently removes the rule.
This sheet is the reason the template exists. A grid of names cannot hold a rule; a list can. When the list moves to a seating tool, this sheet imports as the constraint set.
The formulas worth adding
| What | Formula shape | Why |
|---|---|---|
| Seats per table | COUNTIF(table range, table number) | Flags over-capacity before printing |
| Guests unassigned | COUNTBLANK(table column) | Catches the names nobody seated |
| Duplicate names | COUNTIF(name range, name) > 1 | Stops the same guest at two tables |
| Spare seats | 8 * tables - seated | Shows whether you need another table |
Where the spreadsheet stops
It cannot reseat. When a party grows past a table, Excel will show you the problem and leave the solution to you. That is the moment seating tools exist for; until then, the spreadsheet is honest, portable and free.
Export CSV, not XLSX, when you hand the list to anything else. CSV survives the trip; merged cells do not.
